This notice explains what personal information Soul Synthesis collects, why, who helps us process it, how long we keep it, and the rights you have over it.
Soul Synthesis is a trading name of a sole trader based in the United Kingdom, and is the data controller for the information described here.

To create your portrait we collect your full birth name, email address, birth date, birth time, birth place, and your answers to the 44 statements. We collect them because the portrait is calculated and written from them; without them the product cannot be made.
Your answers to the statements, and the psychological reading drawn from them, are treated as sensitive information. We process them because doing so is necessary to create the portrait you've bought, and we use them only for that.
If you buy The Whole Picture, we also use any family members' birth details you choose to send us, only to write your family reading. Please only send them if you are comfortable they would not mind.
If you add a conversation with your AI companion, it is processed so the companion can see and hear you and reply; before it starts, the companion is given a summary of your readings. We keep the written transcript of the conversation for 90 days, so we can answer questions about it, then delete it.
If you arrive from an advert, we also record which advert (standard campaign tags). Payments are processed by Stripe; we never see your full card details.
If you ask for your free readings, we collect your birth date, your birth time if you give it, your birth place, your first name and your email address, and you confirm that you are 18 or over. From these we work out your readings in five traditions and draw your two charts.
Your readings are worked out and kept on our own server, which is hosted by Hetzner in Germany. One short passage, the one that reads your traditions together, is written by an AI: for that, the details of your chart (not your name or email address) are sent to Anthropic, the company that makes the AI, in the United States. Anthropic acts as our supplier for this. We do not use your readings to train any AI model, and we do not sell them.
Your email address is used to send you the private link to your readings, through Resend, our email supplier. We do not keep the address itself with your readings. We keep only a scrambled form of it, which cannot be turned back into the address, so that if you ask us to send your link again we can find your readings. If you ticked the separate box asking for occasional emails from us, we also keep your email address on our mailing list, and nothing else with it. You can leave the list at any time by replying to any email from us.
Anyone who has your link can open your readings, so please keep it to yourself. Your page tells search engines not to list it.
The typed chat is offered by invitation, at no extra charge, to founding members of The Whole Picture. If you use it, we collect your birth date, your birth time if you give it, your birth place, your first name if you give it, and everything you type and every reply you get. Before you begin you tick two boxes: that you are 18 or over, and that you are happy to talk to an AI and to have your details handled as described here.
Your chart is worked out on our own server, which is hosted by Hetzner in Germany. Your chart and your messages are then sent to Anthropic, the company that makes the AI, in the United States, so that it can write its replies. Anthropic acts as our supplier for this. We do not use your conversation to train any AI model, and we do not sell it.
You may talk about your health or how you feel. That is sensitive information, which is why we ask for your explicit consent before you begin. If you would rather not share it, please do not type it. The chat is not therapy and not advice, and a person does not read it as it happens. We may read conversations afterwards to check that the chat is working safely and to make it better.
To stop one person starting many conversations, we keep a scrambled form of your internet address, which cannot be turned back into the address. We also keep simple counts, such as how many conversations have been started and what the chat has cost, which are not linked to you.
Contract: creating and delivering the portrait you bought, including the questionnaire and the psychological interpretation drawn from it, and responding when you contact us.
Consent: analytics and advertising measurement (see below), which only run if you say yes. You can withdraw consent at any time.
Contract: making your free readings and sending you the link, because you asked us to.
Consent: our occasional emails, only if you ticked the box asking for them. You can withdraw it at any time.
Explicit consent: the chat, including anything about your health or feelings that you choose to type. You give it by ticking the box before you begin. You can withdraw it at any time by emailing us, and we will delete your conversation.
Legal obligation: keeping payment records for UK tax purposes.
Legitimate interests: preventing fraud and abuse of the checkout, delivery, free readings and chat systems.
Nothing non-essential loads unless you allow it. If you do, we use PostHog (hosted in the EU) to understand how the site is used, and Meta's Pixel to measure whether our adverts work. If you choose "Essential only", neither loads and the site works exactly the same.
Separately, and without any cookie, we count how many times each page is opened each day. Nothing is stored on your device for this, and nothing about you is kept: only the page and the number.
We use a small number of service providers: Vercel (website hosting), Stripe (payments), Resend (email delivery, including the link to your free readings), PostHog (analytics, EU-hosted, only with your consent), Meta (advertising measurement, only with your consent), Komoot Photon (the birth-place search box), Google Fonts (typefaces), Anthropic (AI assistance while drafting your portrait, the passage in your free readings, and the replies in the chat), Hetzner (the server in Germany where your free readings and the chat are worked out and stored), and Tavus (the optional AI companion conversation, based in the United States). Some of these providers are outside the UK; where they are, transfers rely on their standard contractual safeguards.
Your birth details and questionnaire answers are encrypted before they are attached to your payment record, so our payment processor cannot read them.
Source inputs (your birth details and questionnaire answers) are kept for 90 days after your portrait is delivered, then deleted. Our copy of your completed portrait is kept for 12 months so we can honour the refund promise and re-send it if you lose it, then deleted. Payment records are kept for six years, as UK tax law requires. If you start checkout but do not pay, your details are not captured by us at all.
Your free readings, with your birth details, first name and the scrambled form of your email address, are kept for 30 days from the day you ask for them, then deleted automatically. If you joined our mailing list, your email address stays on it until you ask to leave.
For the chat, your birth details, first name and conversation are kept for 30 days from the day you start, then deleted automatically. You can ask us to delete any of these sooner.
You can ask for a copy of your information, ask us to correct it, delete it, restrict how we use it, object to our use of it, or ask for it in a portable format. You can withdraw consent at any time. To do any of these, email hello@soulsynthesis.co or reply to any email from us.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Request deletion at any time by replying to any email from us with the word "delete", or by emailing hello@soulsynthesis.co. We will remove your personal data and source inputs from our systems, including your free readings, any chat conversation and the private web copy of your portrait, and confirm when it is done. Your delivered portrait (the PDF in your inbox) remains yours to keep.
We do not sell your data. We do not use your birth details or questionnaire answers for advertising. We do not use your data for marketing unrelated to your portrait. We do not use your free readings or the chat for advertising.
